Guest Policy

Members may sponsor guest(s) on a daily basis by purchasing a facility guest pass ($8 for adults age 18 & up; $6 for youth age 17 & under). Sponsor must accompany guest(s) and is responsible for all actions of his/her guest(s). All parties must abide by UVA regulations. Adult guest(s) must present photo I.D. verifying age (age 18 & up) and identity. Guest pass is valid for one access to the recreation facility where it was purchased during operating hours or Family Recreation hours and is valid for date of purchase with accompanying sponsor only.

Group Exercise Options for Non-Members:

Guests may purchase a facility guest pass ($8 for adults age 18 & up) when sponsored by an IM-Rec Sports member. Sponsor must accompany guest(s) and is responsible for all actions of his/her guest(s). To participate in Group Exercise, guests must also purchase a single-class pass for $7. Total for a guest to participate in a Group Exercise class = $15 ($8 guest fee + single class pass $7).

Ashtanga Yoga Mysore Options for Non-Members:

Guests may purchase an Ashtanga Yoga Mysore pass for $40 which allows unlimited access into Ashtanga Yoga Mysore ONLY and is valid for 30 days from the date of purchase. No sponsor required.

IM-Rec Sports reserves the right to refuse admittance to guests.

Pool Policies & Procedures

Patrons with cardiovascular disease, high blood pressure, seizures, pregnancy, or any other pre-existing medical condition that may be aggravated by use of the sauna, hot tub, or exertion of energy due to exercise should use extreme caution.  Please consult with your physician if you have any pre-existing medical condition prior to use or participation at the AFC and NGRC pool, hot tub or sauna.  

General Precautions

Avoid food or alcoholic beverages before using the hot tub and sauna. Participants having any considerable areas of exposed sub-skin tissue, open blisters, cuts, sunburn, etc. are warned that these are likely to become infected. Upon experiencing any nausea, dizziness, hot flashes or cold chills, headaches, or other discomfort, leave the sauna or hot tub at once.

  • Showering is recommended before entering the pools.
  • Clean swim shoes or sandals are the only footwear approved for use on the pool deck.
  • Only Intramural-Recreational Sports and Athletic Staff allowed on bulkheads
  •  Food is prohibited in the pool area. Only plastic, resealable drink containers are permitted in pool area. 
  • Clean swim attire is the only approved clothing for use on the pool deck, in the pool, in the hot tub, or in the sauna. Cutoffs, gym shorts, dress shorts and T-shirts are prohibited.
  • Infants must wear tight fitting plastic swim pants or swim diapers.
  • No diving will be permitted in water less than 5 feet deep. Please see tile marking on deck for reference.
  • When choosing a lane, observe the speed of the swimmers, pick a lane comparable to your speed and inform those swimmers that you are joining the lane.
  • During heavy usage, swimmers are to swim circles counterclockwise within their lane to accommodate a maximum number of participants.
  • Please note any equipment provided by AFC and NGRC Aquatics is approved for use, i.e. kickboards, pull buoys, water noodles and fins. Personal water toys and rafts are prohibited. SCUBA is not allowed without the presence of an instructor.  
  • Standing or kneeling on kickboards is prohibited.
  • Hanging on lane lines is prohibited.

  • Kickboards or flotation devices are prohibited in the hot tub.

Sauna Policies & Procedures

  • Excess clothing such as a sweat suit or rubberized suit while in the sauna is prohibited.
  • Clean swim attire must be worn and participants are required to bring a towel to sit on when using the sauna.
  • A time limit of 15 minutes must be observed due to the fatiguing effects of prolonged use of the sauna.
  • This sauna is a dry sauna. Please do not pour water on the electric coals.
  • Newspapers, magazines, or other reading material are prohibited.
  • After using the sauna, participants must shower prior to entering the pool or hot tub.

Cancellation Policy

All clients must contact their trainer/instructor directly at least 24 hours prior to the scheduled training session in order to reschedule. If no contact is made within 24 hours, the scheduled session will be forfeited without credit or refund and may not be rescheduled.

Weather related cancellations are not updated on the weather hotline. Instructors will contact their clients using the number provided to notify them of lesson cancellation due to weather. Lessons which are cut short due to inclement weather will be made up by extending the time of a later lesson.

Refund Policy
All sessions are non-transferrable and non-refundable with the exception of medical concern or restriction. A physician’s note will be required in this instance to obtain a refund. In addition, the refund will reflect a pro-rated amount for sessions not yet used.

Expiration Policy
Private Instruction must be completed during the semester they were purchased. Extensions will only be permitted in the instance of medical concern and/or restriction. 

Non-Employee Training or Instruction
Only designated IM-Rec Sports staff are permitted to train or instruct clients that have purchased sessions through the department. Violation of this policy will result in immediate termination of membership for the trainer/instructor and client.

Medical Clearance Policy (Personal Training only) 
Medical clearance will be required for clients who meet the national standards set forth by the American College of Sports Medicine (ACSM). The Fitness & Wellness office will provide the necessary form, which must be completed and signed by a physician in order to begin training. Medical clearance must be submitted annually to ensure safety and current records.

Fitness Assessment Policy (Personal Training only) 
Each client will undergo a fitness assessment prior to training. If you would like an additional fitness assessment, one can be purchased individually. Fitness assessments must be conducted annually for all personal training clients to ensure safety and current records.

Refunds & Cancellations

MEMBERSHIP REFUNDS

Membership fee refunds are prorated minus 15% of the original price for processing.

PROGRAM REFUNDS

Full refunds are available only if requested more than 3 days before the start date of the program. Refunds requested less than three days in advance but before the program begins will be assessed at 50% processing fee. Refunds are not available after a program has begun.

PROGRAM CANCELLATIONS

A credit for the amount paid will be placed on your IM-Rec Sports account in the event IM-Rec Sports cancels a program.

NON-REFUNDABLE

Outdoor Recreation programs and Group Exercise passes are non-refundable and non-transferable. 

Reservations

Facility and field space are reserved in the order in which requests are received with consideration given to the size of the group, type of program and space availability. Intramural- Recreational Sports reserves the right to assign and if necessary, reassign facilities to assure the maximum and most appropriate utilization of facility and field space.

Only participants associated with your group are allowed on the reserved space and must be prepared to present a valid UVA ID or IM-Rec membership card for facility access unless otherwise granted by Facility Use Agreement. All others must be sponsored and purchase a daily Guest Pass.

Compensated or voluntary instruction is not permitted without advanced approval from the Intramural-Recreational Sports Department. Instructors assume all liability for reservation participants.

If an organization charges admission or registration fees in conjunction with an event that uses an Intramural-Recreational Sports space, a rental fee will be charged based on established rates.

Groups scheduling facility or field space will be held financially responsible for any special cleanup, maintenance or repairs resulting from the event or activity.

All recreation facilities and fields are smoke, alcohol and drug-free.

Intramural-Recreational Sports reserves the right to require security, housekeepers, staff coverage and other personnel for events. The need shall be determined based on the time, place and type of event. Intramural-Recreational Sports will arrange such personnel coverage. The sponsor of the event will be responsible for these charges. There is a minimum charge for certain personnel provided by the University of Virginia.

Intramural-Recreational Sports retains all concession rights including the sale of programs, souvenirs, etc. unless exceptions are permitted in writing.

The sponsor of the event may be required to provide a general comprehensive Liability Insurance for bodily injury and property damage. Verification of coverage will be made to Intramural- Recreational Sports through a certificate of insurance. This certificate must name The Commonwealth of Virginia and the Rector and Visitors of the University of Virginia, its officers, employees and agents as additional insured.

The sponsor of the event reserving recreation space is responsible for the actions of the participants. In addition, all participants shall adhere to published University and Intramural- Recreational Sports policies, regulations, guidelines and local, State and Federal laws. The sponsor of the event shall use the facility or field space at the scheduled event time or properly cancel the event. Failure to cancel the event and no shows may result in the loss of future scheduling privileges.

Intramural-Recreational Sports is not responsible for injury to persons or loss or damages to any property belonging to the sponsor arising in any manner from the event. The sponsor of the event will assume full responsibility and liability for all injury to any and all persons or property in any way connected with the event.

Intramural-Recreational Sports provides counter weight anchors for sporting goals. Movable Soccer Goals Safety Act requires the use of anchors on all full-sized soccer goals and recommends counter weights to be use on all sporting goals. All goals are required to be used as recommended by the manufacturer. For questions about manufacturer recommended use, please see the facility manager or refer to the manufacturers label affixed to equipment.

Only approved activities are permitted in the reserved spaces and facility must be returned to its original condition (store equipment, pick up trash, etc.) at the end of the event reservation. Unauthorized activities or failure to abide to any policies may result if the loss of future reservations and access to Intramural-Recreational Sports facilities.

Weapon and combative contact without approved gear is not permitted. All participants are required to wear appropriate footwear that will not mark or damage flooring surfaces. Boots, turf, deck or soft-soled shoes are not allowed on indoor and court surfaces.

Props such as chairs, canes, poles, etc. that could cause damage to the flooring are not permitted. Tape and other marking devices are not permitted on the walls, floors, or furniture. Recreational equipment can be checked out from Intramural-Recreational Sports facilities during operational hours with a valid UVA ID or IM-Rec membership card. Organizations must provide their own sound equipment if required.

The facility hours are developed by Intramural-Recreational Sports. These hours can change during the year due to holidays, academic breaks, etc. Reservations may be for any time during the specific facility's hours. It is possible to request the facility open beyond normal operating hours. Additional fees will be assessed to cover staffing and operating costs.

Groups may not be permitted to make reservations if in the opinion of Intramural-Recreational Sports granting such request would cause excessive damage to the facility or field space.

All outdoor activities are cancelled in the event of inclement weather (rain, snow, lightning, etc.).

All racquet court reservations (tennis, racquetball and squash) are forfeited 15-minutes after reservation start if member has not arrived.

No group may release space to another individual or group. Reservations for space are group or event specific and may be changed only by Intramural-Recreational Sports.

Intramural-Recreational Sports must approve the method of placing decorations, exhibits and displays in recreation spaces and outdoor fields. Doorways, corridors, staircases and fire exits cannot be blocked or obstructed. Decorations may not be attached to ceilings, light fixtures, walls, doors, floors, woodwork, windows or other surfaces unless approved by Intramural- Recreational Sports. No glue, tacks or nails are permitted on walls, fences, trees and other plants, doors, floors, ceilings, glass or woodwork.

Groups with delinquent accounts with Intramural-Recreational Sports will not be able to make reservations until full payment is made. Groups may be cancelled or removed from existing reservations due to delinquent accounts.

The use of Intramural-Recreational Sports recreation facilities and field spaces will not be permitted that is 1) unlawful; 2) discriminates on the basis of age, citizenship, color, handicap, national origin, political affiliation, race, religion, sex, sexual orientation, or status as a disabled veteran or veteran of the Vietnam era; 3) disrupts academic activities, scheduled events, University functions or other normal pursuits that take place in the area; or 4) personal gain.

Fitness & Weight Room Policies

Participants must be age 18 or older to utilize equipment or occupy strength and conditioning/cardio areas.

Knowledge of fitness equipment use is the responsibility of the participant.  Use of equipment other than for its designed function is prohibited.

Dropping or slamming dumbbells and other weights is prohibited.

All weight plates, dumbbells and other loose fitness equipment should be returned to their appropriate storage locations after use.

The following exercises are prohibited: Olympic lifts (snatch, clean & jerk and derivatives of these exercise).  Intramural-Recreational Sports reserves the right to prohibit any exercise based on safety concerns.

Chalk and other derivatives are prohibited in the fitness & weight rooms.

Users are required to wipe down equipment after each use. Fitness Wipes are provided at each facility.

Use of cardio machines is limited to 30 minutes during peak hours or when others are waiting.

Appropriate exercise attire (shirts or sport tops and standard closed-toed athletic shoes) is required at all times.  Bare feet, socks, open-toed shoes and open-heeled shoes are prohibited in the fitness & weight room areas.  Street clothes (jeans, khakis, etc.) are prohibited in fitness room areas.

Elevation Training Masks are prohibited.

Drinks must be kept in a sealed container. Glass containers are prohibited.

Personal training or private instruction is restricted to those individuals who are specifically employed by Intramural – Recreational Sports Department for this purpose.

Cameras and video equipment are not allowed without prior approval.

Headphones must be used while listening to personal music.

The Intramural – Recreational Sports Department reserves the right to amend fitness & weight room policies and retains authority to make final decisions on rule enforcement. Failure to comply with any policies may result in temporary or permanent loss of membership.

Spotters are recommended.  Please provide your own spotter.

Avoid resting on machines.  Please allow others to work in with you between sets while using strength training equipment.

Please notify a staff member immediately of any equipment malfunctions or safety issues.

Participation in IM-Rec Sports programs or use of facilities will be considered permission for the IM-Rec Sports department to photograph, film, audio/video tape, record and/or televise your image and/or voice in any publications or promotional materials, in any medium without restrictions. To opt out, simply inform our photography staff. 

Facility Locker Room & Restroom Policies

Cell phones and other mobile devices with recording capabilities, including voice recording, still cameras and video cameras increase the risk for different forms of misconduct in locker rooms, changing areas and restrooms.

Video or audio recording, taping, or photography using any type of device in locker rooms, dressing areas, changing rooms, drying areas, showers and restrooms is strictly prohibited.

Glass containers are prohibited in locker room spaces.

IM-Recreational Sports is not responsible for lost, stolen, or damaged personal property. Please secure your personal belongings at all times. Complimentary day lockers available upon request.

Equipment such as hand dryers, bathing suit dryers and changing stations should be used for their intended purposes only. Please report equipment malfunction or damage to a Facility Supervisor on duty.

Please report the presence of suspicious individuals or activity in the locker rooms or restrooms to a Facility Supervisor on duty, immediately.

Please report any facility problems and/or injuries to a Facility Supervisor on duty, immediately.

Youth Recreation Policies

Family Recreation Passes (ages 6 months – 17 years) are available for purchase at the IM-Rec Sports Business Office at the Aquatic & Fitness Center. Daily Youth Guest passes can be purchased at the facilities during Family Rec Hours.

Youth must be accompanied by an adult member at all times. Adult member must remain on deck while youth are in the pool. Youth access to water is at the discretion of the lifeguards on duty based on age and skill level in the water.

Youth are eligible to use basketball/volleyball courts, racquetball/wallyball courts, squash courts, multi-purpose rooms and AFC track during Family Rec Hours. AFC and NGRC pools are available for youth swim during designated Family Swim Hours.

Use of fitness & weight rooms, combative room, MEM track, saunas & whirlpools are not permitted for Youth Members/Guests.

Youth Members/Guests are not permitted to participate in Group Exercise classes.

Youth programs are offered year round including swimming, tennis lessons and Family Bouldering.
